Terms & Conditions
Please read these carefully to ensure that you are happy to proceed with booking: |
General terms and conditions
Fees:
Fees are always presented VAT included, if applicable.
VAT:
Under EU Customs and Exsise Regulations, delegates from all the countries are required to pay VAT on any event taking place in the EU.
Registrations:
You will always receive a confirmation of your booking. An automatic reply will immediately follow an on-line registration and in the subsequent business days a complete confirmation will follow once your registration has been processed by our secretariat. If you do not obtain anything, please send an e-mail to katerina.zerdeva@zita-congress.gr to make sure that we have received your booking. Within two weeks from the confirmation, an invoice for your participation will be sent by our accounting department. Please notify any corrections to your registration immediately.
Cancellations:
Cancelation of Registration & Accommodation
All changes and cancellations can only be made in writing.
In case of cancellation, the following policy applies:
1. Registration fees are not refundable.
For hotel accommodation, gala dinner and other services:
1. Cancellations that will occur till 19/01/2010 will be refunded by 90% of the deposit.
2. Cancellations that will occur till 19/03/2010 will be refunded by 50% of the deposit.
3. Cancellations that will occur till 30/06/2010 will not be refunded for the deposit.
4. For cancellations that will occur after the 1/07/2010, 100% cancellation fees will be applied for the total reservation value.
A handling fee of € 15,00 will be charged for any name change to an already received conference registration. A newly completed registration form for the substitute participant has to be sent to the Zita Congress & Travel Symposium Secretariat. Name changes will be accepted by mail or fax until 18th of September 2010. After this date, all name changes must be carried out on site.
Cancelation of Airtickets
All changes and cancellations can only be made in writing.
In case of cancellation/change, the following policy applies:
If an airplane ticket has been issued, then, a penalty for change will be charged plus any fuel recharges and taxes (according to the Carrier's Rules and Regulations) regarding the specific ticket or tickets on the day of change.
Payment:
At the time of confirmation the following should be charged:
1. Full amount of participants and accompanying person's registration fees and social program.
2. The 50% of the total amount regarding accommodation.
On the 30th of June 2010 the balance of 50% of the accommodation should be paid.

Important notices
1. A copy of the bank receipt for deposit must be sent by fax or mailed together with the completed registration form.
2. A copy of the bank receipt for full settlement must be sent by fax or mailed.
3. All receipts must state the 18th EUROQSAR 2010 + Family name + First name.
4. When names of participants are NOT stated on the bank transfer, your payment cannot be linked. Consequently, your payment will be unknown to the Administration Office. Consequently the reservation will not be honoured.
5. Company and personal cheques are not accepted.
6. Please do not forward any values by mail. The Organizing Committee will accept no liability for any loss.
Data Protection:
The personal information provided by you will be held on our database. It may be used to keep you up-to-date with developments in your industry and the conferences organised by Zita Congress. Sometimes your details may be obtained from, or made available to external companies for marketing purposes. Liability and insurance:
Neither the Organisers nor Zita Congress will assume any responsibility whatsoever for any damage or injury to persons or property during the symposium. The participants are recommended to arrange their personal travel and health insurance.
Applicable laws and competence:
If no agreement can be reached, any dispute related to the commercial relation will be taken in charge by the exclusive competence of the Greek jurisdiction.
